Privacy Policy

The Victor Project, Inc. ("we," "us," or "our") operates www.thevictorproject.org (the "Site"). We respect your privacy and are committed to protecting the personal information you share with us. This policy explains what we collect, how we use it, and the choices you have.
1. Information we collect
Information you give us: When you fill out our contact form, join our mailing list, or email us, we collect the details you provide — such as your name, email address, and the contents of your message.
Applications for assistance: When you apply for veterinary assistance, we collect the information on the application form. This includes your name, address, phone number and email; the number of adults and children in your household and your total household income; information about your pet and its medical condition; the name and phone number of your veterinary clinic; and any veterinary documents you upload, such as a diagnosis or treatment estimate.
Information collected automatically: Like most websites, our Site (hosted on Wix) automatically collects certain technical data through cookies and similar technologies — for example, your IP address, browser type, device information, and how you use the Site. This helps us understand traffic and improve the Site.
2. How we use your information
We use your information to: respond to your messages and requests; send updates, stories, and volunteer or support opportunities if you've joined our mailing list; determine eligibility for our veterinary and medical financial assistance program and arrange payment to your veterinary provider; coordinate volunteering and outreach; and operate, maintain, and improve the Site.
We do not use the information on an application for any purpose other than reviewing and administering your request for assistance.
3. Who reviews an application
Applications are reviewed by our grant review committee, made up of the President and volunteer members of our Board of Directors. Access is limited to those board members and to anyone who needs it in order to administer a grant. We may contact the veterinary clinic you name in order to confirm treatment and arrange payment.
We share your information outside the organization in only two situations: with your veterinary clinic, to confirm the treatment and arrange payment directly; and where we are required by law to disclose it. Our board members and grant review committee are bound by our Conflict of Interest Policy and may not use what they learn for any purpose other than deciding your application.
4. Cookies
Our Site uses cookies, including those set by our hosting platform, Wix, to keep the Site working and to measure usage. You can control or disable cookies through your browser settings, though some features may not work as intended without them.
5. How we share information
We share your information only with trusted service providers who help us run the Site and our communications (such as Wix and our email and mailing-list provider), under obligations to protect it; with the veterinary provider treating your pet, where that is necessary to arrange care and payment; or when required by law, or to protect the rights, safety, or property of The Victor Project, our volunteers, or others.
What we do not do:
We do not sell your personal information. We never have and we will not.
We do not share it with advertisers, data brokers, or any third party for their own marketing.
We do not use your information, or anything you upload, to train artificial intelligence systems, and we do not provide it to anyone else for that purpose.
We do not publish your name, your story or your pet's photograph unless you have given us specific written permission on the application form. Permission is entirely optional and refusing it has no effect on your application.
6. How long we keep your information, and how we destroy it
We keep applications for assistance, and the veterinary documents submitted with them, for two years from the date the application is decided. At the end of that period we destroy them securely — paper records are shredded and electronic records are permanently deleted.
This is not an informal practice. It is required by the Document Retention and Destruction Policy adopted by our Board of Directors, which also governs our financial and corporate records.
There is one exception. If we become aware of litigation, a subpoena, a government investigation or an audit, we suspend destruction of any records that may be relevant and keep them until the matter is resolved. This is a legal obligation and it overrides the two-year schedule.
Information you send us through the Contact Us form is kept only as long as needed to answer your question, and no longer than one year.
7. Your choices about your information
Connecticut and several other states give residents rights over personal information. We extend the following to everyone who contacts us, regardless of where you live, because we think that is the right way to treat people who have asked us for help.
You may ask us to tell you what we hold, and we will provide a copy of the personal information we have about you.
You may ask us to correct it. If something is wrong, tell us and we will fix it.
You may ask us to delete it. We will delete your information unless we are required to keep it — for example, where a grant was paid and the record supports our charitable-purpose reporting to the IRS, or where a litigation hold applies.
You may ask us to stop contacting you, and we will remove you from any mailing list. You can also unsubscribe from our emails at any time using the link in any message.
To exercise any of these, email info@thevictorproject.org. We will respond within 45 days. We will never charge you, and asking will never affect a pending or future application for assistance.
If you are not satisfied with our response, Connecticut residents may contact the Office of the Attorney General at portal.ct.gov/ag.
8. Children's privacy
Our services are for adults. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us information, email info@thevictorproject.org and we will delete it.
9. Third-party links
Our Site may link to other sites, such as our social media pages. We are not responsible for the privacy practices of those sites.
10. Changes to this policy
We may update this policy from time to time. The "Effective date" above shows when it was last revised, and significant changes will be posted on this page.
